Running a CrossFit gym means juggling countless tasks - coaching classes, managing members, programming, cleaning, etc. To truly scale your business, it’s essential to delegate effectively. By leveraging your team, you can focus more on growth strategies and less on day-to-day operations.

I remember when I was starting my cleaning company (of which I never did a single second of actual cleaning), one of my mentors said “If you’re not spending 75% of your day marketing, you’re doing it wrong”.

That made me look back at the years and years I stood on the gym floor. Coaching classes, chatting with people during Open Gym (horrible idea), programming, mopping the floor and repainting bumper plates. I was spending 95% of my day doing daily tasks and had zero energy left to actually grow my gym.

I was scared to lose money by hiring out these tasks that weren’t hard, but were time consuming. However, the opportunity cost was way higher than the cost of hiring for these tasks, and it took me too long to figure that out. Once I did, I realized I should have delegated out all of these tasks many years prior.

Why Delegation Matters

Delegating tasks allows you to concentrate on what truly drives your gym’s growth—strategic planning, marketing, and member engagement. When you distribute responsibilities you enhance operational efficiency, and create a more sustainable business model. This shift not only reduces your workload but also fosters a collaborative and motivated team environment.

How to Delegate Effectively

Start by identifying tasks that can be handled by others. Administrative duties, member communications, social media management, and equipment maintenance are prime candidates for delegation. Assign these responsibilities to trusted staff members or hire specialized roles, such as a membership manager or a marketing coordinator. Provide clear instructions and the necessary resources to ensure they can perform their duties effectively.

If you have coaches that want more hours, allow them to take on roles beyond the gym floor. For example, designate a lead coach to handle class scheduling or to oversee new member orientations. This not only frees up your time but also promotes leadership within your team.

Effective delegation is a cornerstone of gym growth. By entrusting tasks to your team, you create space to innovate, expand, and actually grow your gym.

  1. Identify Delegateable (is that a word?) Tasks: List out all tasks and find which ones can be handled by others.

  2. Assign Responsibilities: Match tasks to team members based on their strengths and interests.

  3. Provide Training and Resources: Ensure your team has the tools and knowledge to succeed in their new roles.

  4. Monitor and Support: Regularly check in to provide guidance and adjust responsibilities as needed.

  5. Focus on Growth: Use the freed-up time to develop new programs, enhance marketing efforts, and build strategic partnerships.
